PRIMARY RESPONSIBILITY:
The Sales & Marketing Coordinator is responsible for clerical, administrative, marketing materials, and other duties to assist in the smooth operation of Sales/Marketing office. He/she is also responsible for providing attentive, courteous and efficient service to all guests. Works closely with Sales, Revenue Management, Catering, Banquets, Finance, Club Members Lounge, and all Operational departments of the hotel.

  • Focus on servicing individual reservations and small groups/events, hosting site inspections, some client entertainment, familiarization trips, emailing, networking.
  • Responsible for assisting the Sales and Events Manager to help achieve individual and team goals by managing the service component of special events and rooms only groups and high-touch individual reservations for luxury consortia, C-Suite executives, and celebrity clientele.
  • Responsible for all phases of the service process from turn over of traces for amenities, VIP alerts, signed contracts & BEOs, client changes, guarantees, set-ups, bill collection, payment confirmation, departure surveys.
  • Assists with full-service event planning
  • Assist with marketing initiatives, such as: social media maintenance, monthly email maintenance, public relations team coordination, and paid marketing team coordination
  • Maintain accurate and clean TripleSeat account database; input all opportunities into TripleSeat in a timely manner.
  • Confirm payments, guarantees, set-ups, signed contract, and changes with clients.
  • Work a varying schedule to reflect the business needs of the hotel.
  • Reviews and inspects banquet rooms and displays with Sales and Events Manager to meet and exceed client needs.
  • Works closely with Sales Directors and Managers and Reservations in preparing pre-arrival communication to all departments and providing service execution to exceed guests’ expectations
  • Establishes a relationship with all hotel departments to ensure smooth communication to the operation and servicing of clients.
  • Performs administrative duties as required including expense reports.
  • Review outgoing correspondence including proposals, contracts, and email messages to ensure accuracy and continuity of The Keswick Hall brand image
  • Participate in departmental sales meetings, relevant operational meetings
  • Open and ongoing communication with Preferred Hotels and Resorts
  • Maintain files by proper and expedient client documentation, including adherence to logging client contact information, service activities and maintaining files with active, timely trace dates
  • Problem solve with other departments as needed to help operations service and assist in winning over new business booked into the hotel
  • Professionally represent the hotel and brand within the hotel and the community
  • Establish and maintain open, collaborative relationships.
  • Utilize interpersonal and communication skills to influence and inspire others; advocate sound business decisions; demonstrate honesty and integrity; lead by example.
  • Perform any other job-related duties as required or requested.

PREFERRED:

  • Prior experience in a luxury hotel brand; specifically in Sales & Marketing.
  • Fluency in a second language other than English.
  • Knowledge of hotel structure and interaction between departments.
  • Prior experience with TripleSeat and Opera or similar Property Management systems.
  • Perform all responsibilities in a timely and efficient fashion, following established policy and projecting a favorable image of the hotel
  • Complies with hotel standards for sales while working harmoniously and professionally with co-workers and executive committee
  • Highly motivated and flexible, possessing the ability to take initiative, to succeed under pressure, and meet deadlines
  • Incisive analytical skills, as well as excellent problem recognition and resolution skills as well as the ability to objectively communicate troublesome spots ahead to the hotel’s senior leadership
  • Reading, writing, and oral proficiency in the English language
  • All other responsibilities assigned by management

ADDITIONAL REQUIREMENTS:

  • A post-secondary diploma or degree in a field of study related to this profession; 1 year of experience in a comparable position and/or an equivalent combination of education and experience.
  • Previous hotel experience within the luxury market; demonstrated administrative skills
  • Ability to work under own initiative in a highly pressured environment.
  • Must possess strong communication skills, exceptional follow-up capabilities, and a strong business development acumen.
  • Requires strong time management skills, well organized and priority focused.
  • Experience successfully leading in a fast-paced environment and prioritizing demands.
  • Must function optimally in a team environment.
  • Technically savvy and familiar with Sales & Marketing operating/budgeting systems and spreadsheets.
  • Ability to identify and solve problems. Good analytical and numeric skills.
  • Professional & appropriate business appearance and demeanor aligned with the 1 Hotel brand and culture.
  • Excellent verbal and written communication skills. Ability to effectively listen and communicate with internal and external clients and staff in all situations.
  • Strong attention to detail.
  • Flexibility to meet the demands of a 24-hour operation.
  • Proficiency in Excel, Word, Outlook
  • Second language a plus
